Stop Hiring "Generic" AI

How to Build a Team of
Specialised AI Employees

Most business owners treat AI like a search engine and get mediocre results. The secret isn't the tool—it's the setup.

In this interactive guide, we will build your AI Brand Book, Knowledge Files, and System Instructions live.

You will walk away with:

  • A "Brand Book" strategy (No more generic tone).
  • A structured plan for your "Knowledge Files".
  • A ready-to-copy "Role Prompt" for your first AI employee.

1 The Foundation

The "Brand Book" (It's not what you think)

A standard brand guide is a few pages of logos and fonts. An AI Brand Book is a 50–100 page "Training Manual" (saved as a Markdown .md file, not PDF) that teaches the AI how to be you.

It needs three specific deep dives:

30%

Target Audience

Not just demographics. Trigger events, fears, risks, and roadblocks.

40%

Business Owner

Your backstory, quirks, specific phrases you use, and formatting style.

20%

Offers

Detailed product features, principles, and service deliverables.

Let's define your "Owner Voice"

To make the AI sound like you, we need to give it specific quirks. Fill this out:

2 The Brain

Knowledge Files: Give it "Institutional Memory"

If you hired a human, they'd have experience. An AI is a blank slate. You must upload Knowledge Files to give it skills.

The 3 Types of Knowledge Files

.txt / .csv / .md

1. Internal Assets

Your SOPs, best-performing emails, and templates.

2. Customer Proof (The Secret Weapon)

Don't just paste testimonials. Upload a CSV with thousands of raw reviews. The AI can then search this to find the perfect quote to back up a claim.

3. External "Deep" Research

Don't have the expertise? Use AI (like Perplexity or OpenAI Deep Research) to analyse "Gold Standard" leaders in your niche and compile a best-practices file.

Generate Your "Deep Research" Prompt

If you don't have internal data, you need to steal (legally) from the best. Enter your niche below, and we'll generate a prompt you can use in Perplexity or ChatGPT to build a knowledge file.

3 The Job Description

System Instructions: The "If/Then" Logic

The Brand Book is the training manual. The System Instructions are the Job Description. Always write this last so it can reference the files you created in steps 1 and 2.

Structure it like this:

  • ROLE Clearly define who they are (e.g., "Expert Sales Copywriter").
  • CONTEXT Background on the task and instructions to reference your specific Knowledge Files.
  • BEHAVIOURS The most important part. Use "If/Then" logic to guide decision making.

Pro Tip: Granular Roles

Don't build a "Podcast Assistant." Build two agents:

  • Podcast Prep Agent: Researches guests and writes questions.
  • Podcast Production Agent: Writes show notes and social posts.

Specialised agents outperform generalists.
